At Mad World Wellness, we are committed to providing high-quality clinical psychotherapy services while maintaining clear and fair financial policies. This Refund Policy outlines the circumstances under which refunds may be provided for our therapeutic services.

Session Fees and Refunds

Individual Therapy Sessions

  • Completed Sessions: Once a therapy session has been completed, the session fee is non-refundable. This policy reflects the professional time, expertise, and resources dedicated to your therapeutic care.

  • Cancelled Sessions: Sessions cancelled with at least 24 hours advance notice will not be charged, and no refund is necessary.

  • Late Cancellations: Sessions cancelled with less than 24 hours notice will be charged the full session fee and are non-refundable.

  • No-Show Policy: Clients who fail to attend scheduled sessions without prior notice will be charged the full session fee, which is non-refundable.

 
Prepaid Sessions and Packages

  • Unused Prepaid Sessions: Refunds for unused prepaid sessions may be provided at the discretion of Mad World Wellness, minus a reasonable administrative fee.

  • Package Deals: Any unused portions of therapy packages may be refunded on a pro-rated basis, subject to the terms agreed upon at the time of purchase.

Emergency and Exceptional Circumstances

 
Client Emergency Situations

Refunds may be considered in the following exceptional circumstances:

  • Documented medical emergency preventing attendance

  • Death of immediate family member

  • Hospitalization of the client

  • Other extraordinary circumstances at the discretion of the practice

 
Provider Cancellations
​
  • If Mad World Wellness cancels a session, clients will receive a full refund or credit for that session.

  • In cases where the practice must discontinue services unexpectedly, unused prepaid sessions will be fully refunded.

Insurance and Third-Party Payments

 
Insurance Billing
​
  • Refunds related to insurance claims will be processed according to insurance provider requirements and regulations.

  • Any overpayments by insurance companies will be refunded to the appropriate party as required by law.

 
Third-Party Payments
​
  • Refunds for sessions paid by third parties (such as Employee Assistance Programs) will be processed according to the terms of the specific agreement.

  2. Requests must include the reason for the refund and supporting documentation when applicable

  • Refunds will be issued to the original form of payment when possible

  • Completed therapy sessions

  • Late cancellation fees

  • No-show charges

  • Administrative fees

  • Costs associated with missed court appearances or legal proceedings

 
Time Limitations

  • Refund requests must be submitted within 90 days of the session or payment date

  • Requests submitted after this period will not be considered

Clients who disagree with refund decisions may request an internal review by submitting a written appeal within 30 days of the initial decision.
